CC your advance address
Put your Advance address on the CC line once and every venue reply lands in your portal, parsed and ready to review.
The workflow, start to finish:
1. Find your advance address
Open Settings → Integrations. The Advance email address card shows an address built from your artist name, like son-of-a-boy-dad@parse.advancetouring.com. Click it to copy. Save it as a contact in your email app so it’s there when you’re advancing from a phone in a van.
2. CC it on the venue thread
When you email the venue or promoter, add your Advance address to the CC line. That’s the whole trick: every reply-all on the thread now reaches your portal without you touching anything. The venue sends set times at 11 PM, the update is waiting for you in the morning.
Don’t want to CC at all? You don’t have to. Wait until the advance is settled, then forward the whole chain to the same address in one go. The same works for a thread that’s already underway. Either way, don’t trim the quoted replies. The AI reads the full back-and-forth and keeps the numbers from the latest message.
3. Create a new show or link to an existing one
A New advance email popup appears in your portal with everything Advance parsed. If a show with a matching venue and date exists, link the email to it with Review Now. If not, click Create new show from this email.
4. Review what the AI extracted
Before the show is created, Advance lays out each field it pulled from the email as a checklist: schedule, deal, hospitality, wifi, contacts. Skim it against the original, untick or edit anything that’s off, then click Create show.
5. Let the thread keep working
This is where the CC pays off. When the venue replies with new details, the thread re-opens in your portal already linked to the show. No picking from a list; the popup says which show the reply belongs to. Review Now shows you what changed as a diff you approve field by field. If the reply is just “Great, thanks,” click Ignore reply and move on. The thread stays live for the next real update.
6. Mark it advanced
Open the show and fix anything the AI misread; every field edits inline. Once you’ve confirmed details with the venue, click Mark advanced and share it with your team.
What’s next
You’ve run the core loop. The next guide, Send your first day sheet, gets the schedule, contacts, and logistics in front of your whole touring party and the venue.
